A secure, self-service system for managing annual staff entitlements and operational reporting

Client & Challenge

National University Health System (NUHS) oversees multiple hospitals and manages thousands of healthcare professionals. Every year, each staff member is entitled to a new set of uniform items. Processing these entitlements manually — across departments, clusters, and job roles — created massive administrative strain, data inconsistencies, and invoicing delays.

Solution

We built the Uniform Management System (UMS) — a centralised web platform that handles:

  • up to 15,000 orders per year based on role and institution
  • Dynamic entitlement allocation by job title and contract type
  • Staff self-service ordering portal
  • Admin-level control for approvals, adjustments, and role transfers
  • Secure cloud hosting with role-based access controls

Results

  • >90% of orders now processed without admin intervention
  • Finance teams receive automated monthly billing reports
  • Improved audit readiness with exportable entitlement logs
  • Scalable architecture to support expanding user base

Takeaway

UMS isn’t just a uniform ordering system — it’s a scalable operations engine that combines access control, workflow automation, and financial reporting into one streamlined tool.
